How Do I Transfer My Entry?
Firstly, you are responsible for finding someone to replace you. We do not hold a waiting list.
Substituting Entries
You can transfer your entry to someone else but you keep ownership of the entry and payment (in SiEntries). You aren’t refunded and will still need to make any future changes to the entry. The new participant doesn’t make any payment to SiEntries.
To substitute your entry please go to the My Entries screen on SiEntries and click on the "Edit" button next to the event in which you want to make the substitution. Next "Edit / Substitute" the person you want to substitute out and select the "Substitute" option.
To complete the substitution fill in the details of the new entrant by using one of the three options, making any relevant changes to the club, etc. before completing the entry. The easiest way to do this is to ensure the person being substituted in has registered with SiEntries and that you have their SiEntries ID (the unique number assigned to each person when registering), last name and email address. This not only speeds up the substitution process but also allows the new person to view the entry on SiEntries. You will then need to click on the "Save Entry" button to save the changes. Note that the original entrant still "owns" the entry as the financial history belongs to them, so they will need to make any further amendments to the entry.
Selling Entries
You can transfer your entry to someone else, which means they pay and own the entry in SiEntires, and your entry gets cancelled and you get a refund.
If a user triggers a sale, then a transfer invitation email is sent to the new user allowing them to take over their entry. If the new user accepts the invitation they can enter and pay for the entry, regardless of any entry limit restrictions. On successfully adding the new entry the original owner will receive a refund minus a £10 admin fee. The new participants entry is effectively a ‘new entry’ which they can fully manage.
To sell your entry, please go to the My Entries screen and click on the "Sell Entry" button next to the event in which you want to make the change.
To initiate the change please enter the email address of the person to be invited to buy the entry. SiEntries will then send them an email with an invitation link that will allow them to make an entry of their own. Once they complete their new entry your old entry will be cancelled and a refund issued to you, minus the £10 admin fee.
Transfer to another Race
If you’d like to switch to a different race at Skyline Scotland, for example a shorter one, please let us know and we can process this for you. Please note that if the event you are switching too costs more, you would be required to pay any different in entry fee. Furthermore, if you are transferring to a cheaper event, we are unable to refund the difference.
The Transfer Deadline Date
This is normally ~2 weeks before the start of the event. Please check the Event Schedule for exact details.
Do you have any tips on finding someone to take my entry?
We would recommend posting on trail and ultra running social media groups.
What If I Get Injured?
We would recommend that you consider the options already discussed - transfer your entry.
Claim on Cover enhanced refund Options
Whilst our standard terms and conditions of entry are generous in offering participants some options (transfer) if they have to withdraw, these are somewhat limited (e.g. they are only possible up to a certain date before the event takes place)
If you opted for it during checkout when first entering, Xcover can help you if you have to pull out of the event due to unforeseen circumstances, like an injury.
Please check out the Xcover wording here to find out what is covered.
Alternatively, it is your responsibility to obtain appropriate insurance to cover your participation in the Event (and any loss, or injury which may occur as a result of such participation).
